The Oregon State Bar (OSB) regulates the practice of law in Oregon & provides a variety of services to its members & the public. We are looking for someone to join our dynamic team & provide a variety of administrative, secretarial, clerical, and production support for the Legal Publications Department.
Responsibilities include the following.
- Provide support to the Director of Legal Publications and other department staff by composing and typing a wide variety of reports and documents, filing, and other clerical tasks. Sort and distribute mail for department.
- Send e-mail reminder notices to authors, grant extensions within defined parameters, and provide status updates to editorial review boards on the progress of chapter submissions. Serve as administrative contact for authors and editorial review board members.
- Process and log all author submissions of outlines and chapters, and forward to editorial review boards.
- Create and update publication files, charts, and schedules.
- Maintain supply of volunteer recognition materials and office supplies for the department. Support program activities and accounts payable by completing check requests and monitoring program expenses.
- Secure copyright and Library of Congress numbers for books.
- Update editor and author information in the OSB database.
- Provide customer service for BarBooks™ and print books, including taking telephone orders; assisting members, nonmembers, and staff via telephone or in person with various service calls including publication and seminar transactions; processing standing orders; and processing firm staff accounts for BarBooks™.
- Coordinate and monitor the progress of marketing pieces with the OSB Information Design and Technology Department and the Accounting Department.
- Query the OSB database to create customized mailing lists for marketing e-mails and surveys.
- Monitor inventory of legal publications and advise Director of Legal Publications when reprints may be needed.
- Serve as production back up as needed, including assisting with word processing of chapters and review of BarBooks™ materials for errors and broken links.
- Maintain digital and print archives of all print publications.
- Coordinate the departmental records retention process.
Candidates will have the following qualifications:
- High school diploma or equivalent.
- Two years experience in secretarial or administrative type office work.
- Experience with data entry and data queries.
- Experience with the Microsoft Office Suite in a Microsoft Windows environment with particular emphasis on Word and Excel. Experience to include macros and styles.
- Ability to type 60 WPM with accuracy.
- Excellent written and verbal communication skills with a working knowledge of editing and proofreading skills.
- Excellent interpersonal skills and organization skills.
- Ability to maintain a professional demeanor and a high level of customer service for a demanding customer base in a variety of situations.
- Ability to work independently, multitask, prioritize, and meet deadlines in a detail- oriented environment.
- Ability to exercise sound judgment in keeping with the policies and objectives of the Legal Publications Department and the OSB.
- Commitment to the concept of teamwork and cross-responsibility within a department.
- Ability to communicate in person, in writing, by e-mail, and by telephone.
- Ability to operate a computer for long periods of time.
- Ability to position self for filing.
- Ability to manipulate data for program and budgetary purposes and word processing.
- Ability to use standard office equipment and computer peripherals.
- Ability to proofread and edit, and review design and layout of written documents.
- Ability to sit and maintain focus for prolonged periods of time.
- Ability to remain in a stationary position for prolonged periods of time.
- Ability to work in a moderately noisy, open environment.
- Any satisfactory equivalent combination of experience and training which ensures the ability to perform the work may be substituted for the above.

We are looking for someone to join our dynamic team and respond to requests for legal information and assistance from attorneys and members of the English-speaking and Spanish-speaking public.
Responsibilities include the following.
- Provides professional customer service while conducting confidential and sensitive bilingual, Spanish and English, telephone interviews with members of the public needing the assistance of an attorney or a community resource in Oregon.
- Uses custom entry-and-retrieval database program to perform attorney referrals according to geographic location and area of law needed.
- Performs clerical and secretarial work necessary to support the referral programs.
- Handles referral requests from members of the public requesting legal assistance via e-mail, telephone, in person, and in writing.
- Exhibits professional customer service while assisting attorneys with program registrations, profile changes, and Lawyer to Lawyer referrals.
- Screens Modest Means applications for client eligibility based on income and case type.
- Performs additional clerical and support work for the Member and Public Services Department when needed.
Candidates will have the following qualifications:
- Graduation from high school or an equivalent GED certificate.
- At least one year of college, business, or secretarial school desirable.
- Ability to fluently speak, write, and read Spanish and English.
- Experience managing difficult people in person or over the telephone.
- Experience with office record-keeping and reporting systems, financial record-keeping systems, and administrative organization methods preferred.
- Experience with high-volume telephone work preferred.
- Experience with the justice system and social service networks serving the state preferred.
- Experience with the Microsoft Office Suite in a Microsoft Windows environment with particular emphasis on Word and Excel. Experience with database programs preferred. Ability to perform advanced database operations.
- Ability to type 40 WPM with accuracy.
- Excellent interpersonal, communication, and conflict resolution skills.
- Ability to use independent judgment in determining an appropriate course of action for a referral and sound judgment in keeping with the policies and objectives of the Referral and Information Services Department and the Oregon State Bar.
- Ability to exercise professional demeanor and a high level of customer service for a potentially demanding customer base.
- Commitment to the concept of teamwork and cross-responsibility within a department.
- Ability to communicate in person, in writing, by e-mail, and by telephone.
- Ability to manipulate data for program purposes and typing. Ability to position self for purposes of filing.

Salary range starts at $15.10 per hour, with an additional bilingual skills premium of $.80 per hour. Excellent benefits. PERS employer. Work schedule will be Monday through Friday mornings 9:00 am to 1:00 pm, four hours per day, 20 hours per week.
